CIV - Committee Internal Voting

1 DEFINITION

The Committee Internal Voting (CIV) is the IT tool, available on CENELEC voting portal, providing the possibility for Technical body (TB) Secretaries (and their Support Teams) to launch ballots by correspondence to the TB for any kind of consultations, formal and informal.

The CIV User guide provides all necessary definitions of the roles within the Technical bodies to correctly identify who has to do what as well as relevant information on how to use and where to find the tool.

2 WHEN TO USE IT

It is worth specifying that CIV, being a tool for internal use within TBs to support the TBs in taking decisions, is not intended to be used for voting on Enquiry and Formal Vote by members. It can be used for a variety of TC decisions. See Examples of cases(questions) for which CIV can be used.

It is very important that the texts for CIV are drafted in a very clear and unambiguous way.

When a CIV is used, it is mandatory for the TB secretary to:

  • create and link the supporting document(s) to a CIV (uploaded on the Collaboration platform);
  • have the questions from the CIV copied in the CIV template and upload this template on the Collaboration platform as well.

3 DURATION

CENELEC BT recommends that a reasonable amount of time, in order to find national consensus on the topic, should be given to NC representatives when voting via CIV. To this purpose the minimum timeframe for CIV is 4 weeks.

NOTE: The earliest date to start a CIV is the day after its creation.
